Screen overview

The Resource Planner screen allows you to create a list of your available resources/staff each day to which you can allocate bookings or individual customers too. The Refresh button acts as a Save and the screen is divided into 3 main parts:

  1. The top left shows unallocated bookings
  2. The top right is where you can add your available resources for the day and assign a manager. Wherever your mouse is sitting when you click Refresh will be where the display begins in the bottom panel.
  3. The bottom panel shows all the resources you have added. Each time you add a new resource, click Refresh and it will open the resource on the bottom of the screen so you can allocate your bookings into the available resource.


Customising the display

For customers who operate multiple companies from the same IBIS system, you can select an operator and a resource group to filter the bookings/resource that displays on this screen making it easier to use.


If you right-click the refresh button, you will find the functions menu for this screen.

  • You can copy a resource list from a previous date to a new day
  • You can decide how many resources to show on the bottom of the screen
  • You can also set the width of the resource grid that displays on the bottom of the screen
  • You can filter the list of services that show on the left-hand panel to exclusive ones (i.e. if a * is set in the exclusive products field on the Services screen)
  • Unallocated bookings that appear in red have an outstanding balance.
  • Unallocated bookings that appear in blue have a refund outstanding.


Setup a resource list for a specific day

A Resource list is set up in the Resource Planner screen. Resources and Managers are pulled from a predefined list of resources you have set up in the Resources screen. See Setting up resources if you can't find your resource in the list.

  1. Click the green to add new rows to the Resource List.
  2. Enter the time.
  3. Choose the resource from the drop-down list. 
  4. Enter the max number of space allocated to the resource.
  5. Choose the Manager from the droplist (e.g. pilot, guide, skipper).
  6. Add any extra details required into the note field, this will appear on the resource manifest.
  7. Click Refresh to save changes and also refresh the screen.



    The process of adding new resources can be made quicker by using the (right-click) fill down / up commands from the grid.


Copy a resource list over multiple days

Once a resource list is set up, you can then copy it over a date range if desired. You can use the Copy resources function to copy your resource list across a specified date range. This saves you time if your resource lists do not change frequently day-to-day.

  1. Bring up the day you wish to copy in the Resource planner screen.
  2. Right-click the Refresh button, then select Copy current resource list. 



  3. In the Copy Resource List popup, specify the date range in the from and to fields, then click Copy resources.



  4. When you change the date on your Resource planner screen to a date range you have copied to, you should see your list of resources already set up.


Allocate bookings to resource planner

Bookings that can be allocated to Resources will appear in the top left-hand corner of the screen. To move a booking onto a resource, drag and drop the booking with your mouse onto the selected resource. If you wish to remove or move a booking to a new resource, just drag the booking to the new resource or back to the unallocated resources list.


Using build pax mode in resource planner

The resource planner can be run in various modes - some of which require the building of pax in the booking screen and some of which do not. These instructions apply to the case where your resource planner is in a mode that requires the breaking down of booking to a line per pax using the Build Pax function. 


Firstly your booking screen needs to be set up with the People 8 tab. See how to show/hide tabs on the Booking screen.

  1. Once your booking is made, select the People tab 8. then click the Build button. 
  2. A line for each pax on the booking should be generated. The first entry will take the booking name under the Persons name field and subsequent pax will take the option code followed by a # and a number in numerical order. 
  3. You are able to overwrite the person's name for each individual with the person's actual name

    Why are my pax doubling up? 

    For multi-component products, the build pax function will create a line per pax for each component. To prevent this, use the 'Exclude build pax' attribute in the Build products screen for each component you don't want to build pax for.

  4. If the pax would like to pay separately, or if only specific pax would like to pay together, you can highlight the relevant rows on the People 8. tab and then select the To POS button to process payments.
  5. Once the payment is completed the details will appear in the Transaction Log column and a tick will show in the Paid column.

  6. If are using the Resource Pax List report, any notes that you add in the Note field will appear on the Resource Pax List against that person
  7. The booking must also be of status Checked In before it is able to be managed in the Resource Planner screen
  8. Open the Resource Planner screen to see your unallocated passengers in the top left of the screen ready for you to allocate to your resources.

Notes

The notes field in the Resource List grid is used to provide information to the crew and displays it on the manifest. The note is editable by clicking the > at the left end of the grid row allowing users to enter multiple lines and line breaks in the note. Right-click the refresh button to enable the note as a popup.
