Admission item types are designed to print tickets with a scannable QR or barcode when the transaction is completed at Point of sale. These item types also allow you to specify usage and validity rules designed to work in conjunction with the IBIS Gate Control application. This means each time a ticket is scanned through a gate or similar device enabled on your network, IBIS checks to ensure the ticket meets the specified validity rules before entry is authorised.

Set up admission items

  1. Open the Admission items screen under the Admission & Membership menu, then click Add.
  2. Enter the Admission item name (max 40 characters inc spaces), then select the Supplier (i.e. your business) from the droplist.
  3. Select the item type "admission".  
  4. Enter an item group or subgroup, this will appear on sales reports. 
  5. Choose the Price type to determine the following behaviour at Point of sale:
    • Fixed - the price cannot be changed
    • Editable - the price can be amended (the retail item will display with ** in the POS grid)
    • Prompt - the user will be prompted to enter the price (useful if you are selling items by weight)
    • Restricted - the user will be prompted to enter a supervisor password when adding an item of this type (the password needs to be set in the System settings > Point of sale > Restricted item password).
  6. Enter the sell Price.
  7. Specify whether to allow discounts to be applied at Point of Sale.
  8. Click Save. To ensure that admission items are correctly validated when scanned, you must also specify the item usage and validity rules as outlined below. 


Set up item usage and validity rules

Usage and validity rules relate to admission items. If you are setting up an admission package, you do not need to specify usage and validity rules for the package item, just ensure they are configured against the admission items within the package.

  1. In the Admission items screen, highlight the admission item row, then click the Usage and validity rules button on the bottom of the screen.

  2. Edit the details on the screen as follows:
    • Reuse wait minutes prevent a multi-use or membership pass from being scanned multiple times in quick succession. This feature is used to prevent fraudulent use of an unlimited trip pass in an unattended access area (i.e. a gate).
    • The validity period controls how long the admission item is valid. Once expired, it will no longer be valid when scanned at entry.
    • Choose which location the item is valid for.
    • Specify the usage group and allowed usage 
      • Example 1: A customer purchases a return ticket for your gondola ride. The scanning station at the bottom of your gondola is set up in usage group 1 and the allowed usage is set for 1 scan at this location. The scanning station at the top of your gondola is set up in usage group 2, and the allowed usage is 1 scan at this location. 
      • Example 2: Your customer has purchased a one-way ticket for your gondola - each location is then set up in the same usage group and the allowed usage is set to 1 scan at each location. As soon as this ticket is scanned once at any location within the same usage group, the ticket will not be valid if scanned again at a different location. 
      • Example 3: Your customer has purchased a membership which allows unlimited trips until the pass expires - each scanning location is set up in a usage group and the allowed usage is set to -1 (unlimited usage) for the location.

    • Specify time restrictions if a ticket or membership can only be used on certain days of the week, or if you wish to exclude specific time periods or public holidays. Also, see the use of the Operating calendarfurther below in this article.
      • Example 1: A ticket is only valid for morning admission. Enter the morning times against each day of the week in a 24h format, e.g. 8:00-12:00.
      • Example 2: A ticket is not valid on weekends. Enter a time period outside of your operating hours against Saturday and Sunday, e.g. "0:00-0:01"
      • Example 3: A ticket is not valid on public holidays. Enter a time period outside of your operating hours against Day 1, e.g. "0:00-0:01". Subsequently, enter a "1" against each date in the Operating calendar.
      • Example 4: A ticket is only valid for (a) specific date(s). Enter a time period of validity against Day 2, e.g. "8:00-18:00" and enter a time period outside of your operating hours against all days of the week to prevent usage on any other day, e.g. "0:00-0:01". Subsequently, enter a "2" against each date in the Operating calendar.
  3. Once you've configured your validity and usage rules, click Save.

Set up admission packages

You can group a collection of individual admission items together for a specific sale price by setting up an admission package. Ensure that the individual admission items you want to package are set up first and make a note of the PLU codes for these items. 

There are a couple of things that you should check are set up before you start:

  • Ensure you have a Sale Discount called "Build item discount" in the Discounts screen. 
  • Set the default PLU code for the Build items discount in your System Settings in IBIS Online.

To set up an admission package item: 

  1. Follow the steps outlined about for adding a new admission item but select the item type "admission package".
  2. Enter the Package PLU's in a comma-separated format of unit x PLU code. E.g. 2x1051, 2x1052, 1x1053.
  3. Click Save, and confirm the changes. You do not need to set up usage and validity rules for an admission package.
  4. If you need to make any changes after the build item is set up, highlight the item row, and amend in the detail panel.


For each unit x PLU code specified, the discount is split across the items in the sale proportionally, and all sale revenue for the admission items is recorded against the individual item itself so your revenue can be allocated correctly for the item sold. 



Set up your operating calendar

In the Operating calendar under the Admission & Membership menu, you can specify validity for specific dates for admission and membership items. This can be used to restrict usage on public holidays or a specific date.

You can configure up to 3-day types to use for various operational scenarios. Each day number (1, 2 or 3) configured in the Usage and validity rules of the admission item must correspond with the number you enter in the Day type field in the Operating calendar.
