There are a number of ways to report on your Event ticket sales.
TABLE OF CONTENTS
Total event sales overview
- Open the Events screen in IBIS.
- Here you can see the total spaces allocated and taken so far.
Event ticket sales reporting
The Sales report can be used to report on sales across all event ticket items in general over a particular period of time by filtering for the Event Ticket item type and dragging in the Event filter. You can find this report in IBIS Online by navigating to Reports, then Sales, and then Sales again. Have a look at the second image below for an example of the report.
The first time you want to run this report, you may need to set it up to include the data you require. For example:
- Select the date period in which you have been selling your event tickets. This is important for the result of your report, as this report uses transactions of event items to create the report.
- Replace the Sale amount filter for the Units filter
- Drag the Item type out of the report and filter it for Event tickets only
- Right-click in the report to bring up the Field List, and drag in the Event filter
- Replace the Category filter for the Item Desc filter
- You can leave in the Location filter for the column data, or you can replace it by User, Till, or leave blank for a Grand Total only.
- Remember to save your report view so it's easy to find again next time.
Report on event sales by customer
Using the List view of the Sales report you can bring up a list of customers who have purchased event tickets.
- Open the Sales report in IBIS Online.
- Select the date period in which you have been selling your event tickets. This is important as this report uses the date of the transaction to create the report.
- Change to List view
- Apply the filter for Item type to Event tickets only.
- Hide the columns you do not need, by right-clicking on the column header and clicking "Hide Column". (You can hide the Item type as well, the filter remains applied).
- Right-click on a column to bring up the Column Chooser, and drag in Customer, Email, Event and Phone. Rearrange the columns to your liking, see the example below.
- Click on the Units filter and exclude -1 if you wish as these are refund sales. Only do this if you want to "clean up" your list due to testing or errors for example. As soon as you exclude the refund sales, your total number of units will be incorrect, as the refunds haven't been taken off. This also means that those tickets which were refunded later will still show on the list of names. We, therefore, do not recommend refunding event tickets at all to start with.
- Remember to save your report view so it's easy to find again next time.
