Sorting your products

The Sort function enables you to group products. Clicking the Sort button in the Explorer tree screen brings up a sub-menu listing 'Region, Operator, Category and Price Code'. Your selection here determines the first level of grouping in your product tree. When you have made your selection, another menu appears with more options that apply to your second level of grouping.

Explorer

The ticked options refer to the most recent grouping selected unless a Refresh has been performed. Clicking Refresh will take you back to your default settings. A couple of examples;

  1. Sort … Region … Region only

    All the regions will be listed. Once expanded, a region will display all products contained within.

  2. Sort … Operator … Category … Region

    This will list all of the Operators set up on your system. Once expanded, an operator will display a list of Categories. Within a category, there will be a folder for each region, once expanded, the individual products will be listed.


Filtering your products

Filtering enables you to restrict the products being displayed in the Explorer tree screen. Click Filter and then select the type of product that you only want to see. In the example below, only products in the 'Family activities' Category will show up in the Explorer tree screen.

The Hidden option shows any products that have previously been made inactive. Click Clear all filters to remove any filters and show all of the products in the Explorer tree screen.

Saving your defaults

Once you have found the best way to sort and filter your products, you can save this view as the default for the Ibis user you are logged on by simply right-clicking the Refresh button and selecting  Save Settings As Default.  Each time you launch the Product Explorer or click on Refresh, the display will revert to your default settings.


Regions and category overview

  • Regions are used to group products by the location of the operator eg Shotover Jet would be in region Queenstown. This makes it easier and quicker for you to find appropriate activities/accommodation for your customer.

  • If a product does not have a region set it will only show in the tree when there is no region filter selected.

  • A region will only exist in the list if at least one product has that region set.

  • You can set a Default Region in the System settings, when the Explorer screen is loaded or refreshed the selected default region will be set in the tree (N.B. this default also applies to the Ticketing screen).

  • Grouping your products into categories allows you to find what you need very quickly. You can set up any categories you like, but some examples to get you started might be Popular, Adventure, Accommodation, Transport.


Move a product to a new region

Right-click on the product in the Explorer tree screen, select Move to region and either move the product to one of the existing regions listed or select New region and type in the new region when prompted.

Rename a region

Right-click on the region in the Explorer tree screen and select Rename region 'Existing region', fill in the new region name when prompted and click OK.

Delete a region

To remove a region, it must have no products set to it. Once you have either moved all items or made all items inactive in a region it will be removed automatically.

Add a new category

You can add your product to a category while you are setting it up for the first time by either selecting an existing category or just typing in a new category in the Category dropdown field. If you type in a new category it will then be available for any future products.

If you want to move a product from a category to a new category, Right mouse-click on the product, then choose Move to category, then New category and type in the category heading you want.


 

Move product to a different category

Right mouse-click on a product, choose Move to category, then select the category you want to shift it to.

Rename a category

Select the category you want to rename by clicking on it in the information tree, right-click and select Rename Category. Enter the new category name and click OK.  All products in the original category will now be in your new category.

Delete a category

To remove a category, it must have no products set to it. Once you have shifted all operators from under a category heading it will be removed automatically.
