You can easily store more customer contact information and create basic itineraries using the Customer Ticket screen. All tickets added to a customer file are displayed in chronological order, this makes it very easy for you to view your customer's plans and ensure you haven't missed any gaps! You will find the Customer Ticket screen under the Reservations menu.

Create a Customer File

This is our recommended first step when you begin creating tickets in IBIS. It is ideal to capture the customer information first, then add new tickets to the customer file. Each time you add a new ticket, the name and country information (if you are recording it) are stored against all new tickets so it saves you time.  

  1. Open the Customer Ticket screen and click + New.
  2. Enter the customer's name when prompted in the pop up screen and click OK.
  3. The customer detail fields are now enabled - fill in the fields as required.
    Note the following:
    • Country and Customer Type lists pull from the Marketing Data screen.
    • Customer num is unique and automatically assigned by IBIS
    • Agent is used only when you are selling tickets to other agents (e.g. Packages).
    • The Value and Balance fields update automatically as tickets are added/paid.
  4. Save your changes when finished.

Tip: If you started creating a ticket directly in the Ticketing screen before creating a customer file after your ticket is saved you can click the ellipsis buttonto the left of the Name field on the Ticketing screen. This will create a new customer file for the person named on the ticket. When your tickets belong to a customer file, the name field turns pink. You can

  1. Open the customer file in the Customer Ticket screen.
  2. Click + Ticket at the bottom left of the screen.
  3. The Ticketing screen will open and you can fill in the reservation details as usual. Note the Name field is automatically filled in.
  4. Save the ticket as usual. The name field will turn pink as a visual indication this ticket belongs to a Customer File. 
  5. Click back on the Customer Ticket screen and carry on with adding additional tickets as required (or proceeding with Payment).

Add Ticket(s) to an Existing Customer File

  1. Open the ticket in the Ticketing Screen
  2. Right-click the Customer Ticket button ... next to the name field to open the Customer File menu.
  3. Select from Recent Customer Files (created since login), or enter the Customer file number (see below)

Find a Customer File

There are two ways to search for a customer file in the Customer Ticket screen; either by customer name or by entering the customer number (if known) directly into the Customer Num field. To search by name:

  1. Click the magnifying glass icon next to the Name field.
  2. Type part of the customer's name or the whole customer's name into the input box and click OK.
  3. A list of the matches will pop up; select the required file.
  4. The customer's file will open.

Take Payment for a Customer File

When all your tickets have been added to your Customer File and you are ready to take payment: 

  1. Open the customer file in the Customer Ticket screen.
  2. Click To POS to take payment for all tickets (you can use the CTRL + Click function to highlight selected tickets). For customers using POS plus, you will see the customer panel appear to the left of the POS screen automatically displaying your customer information.
  3. Take payment as normal. When the payment is complete, you will return to the Customer Ticket screen and tickets will begin printing in travel date order. 
  1. Find the customer file you want to print tickets for.
  2. If you only want to print some tickets, select the rows from the grid (see How to Select Rows) otherwise all tickets will print by default.
  3. Click Print (Tickets will print in chronological date/time order).

Remove a Ticket from a Customer File

  1. Open the ticket in the Ticketing screen
  2. Right-click the Customer File button ... next to the Name field indicated in pink. 
  3. Select Don't Associate with a Customer File from the menu.
  4. Press Tkt/Save. The pink shading will disappear to indicate the ticket has been removed from the Customer File.
