You can easily print out notes and contact information to give to your customers which is useful for general enquiries about restaurants, or local services which you might not generally make a booking for or the commission of the potential sale does not cover the cost to make the booking (e.g. long-distance charges). Unless you are operating a charity, might be better to sell a phone card instead.


To print the notes (thermal printers only):

  1. From the Ticketing screen under the Reservations tab, select the Operator or Product from the information tree.
  2. Right-click the operator name, then select print operator information which will print the contact details
  3. Right-click the product name and select print product information to print product-specific notes


Notes can be configured as 'read-only' (viewable only by your staff) or 'print' only (only shown when printed) - see Edit Product and Operator information for more details.

Reprint a voucher for an active or paid ticket

  1. Locate the ticket in the Ticketing screen and click the Tkt/Save button. 
  2. In the following popup window, click the Ticket button with the printer icon.

  3. A thermal ticket will print automatically. If you use A4 tickets, you can either:
    • Print directly to your printer by selecting it.
    • Select View on screen to see the ticket on screen.
    • Select Export to file to save an electronic copy of the ticket e.g. PDF to email.

Reprint a voucher for a ticket that is settled, closed or cancelled 

If you need to reprint a ticket that is Settled, Closed or Cancelled, ensure you have enabled the password in the Global Settings in the 

To set up the password;

  1. Go to the Global Settings screen under the System menu.
  2. Click on the Ticketing tab and find the setting Password closed or Xld.
  3. Enter the password that you want users to enter.
  4. Users will now be prompted to enter a password when reprinting tickets of these statuses. You may wish to only give this password to supervisors.


Save a voucher as a PDF

  1. Open the ticket in the Ticketing screen and click the More button.
  2. Select Custom Ticket, then choose your preferred format.
  3. On the Select output device screen that pops up, select the Export to file option.
  4. In the Export as screen that opens, choose where to save the file - remember where you've saved it!
  5. Decide what to name the file and type that into the File name field.
  6. In the Save as type box, choose Postscript (*.pdf)
  7. Click Save



Email a PDF voucher to a customer or operator

Sometimes it's handy to be able to email a PDF copy of a ticket to either an operator or a customer for confirmation. You can do this easily in IBIS. Prerequisites:

  • You need to have set up the emailer tool. To open the Emailer tool for configuration, go to an existing ticket and follow the instructions below for sending an email up to Step 5 where the Emailer tool will open.
  • You have to set up one or more template emails to accompany the PDF ticket.

 

Follow these steps to email a ticket:

  1. Open the ticket that you want to email in the Ticketing screen.
  2. Click the More button at the bottom of the Ticketing screen.
  3. Select Email customer ticket or Email operator ticket. For an operator, the email address will populate automatically if it is in your database.
  4. Enter the customer's email address in the popup or check/add/change the operator's email address if necessary.
  5. In the Emailer screen, select the template for the confirmation email from the list of Templates at the top left
  6. You can see what will be emailed to the customer in the body of the email
  7. Click Send
  8. Check the Email Log to the left of the Send button, to confirm the email was successful
