The Flight check-in screen allows you to prepare customers for flight manifesting. We recommend the screen is used in conjunction with Online Check-in, where customers complete their own registration details and sign waivers. This article covers the following usage scenarios:

Flight check-in screen overview

This screen shows you all of the customer’s check-in details including alerts should any of their check-in responses require attention, allocate add-ons, and view the current flight details such as staff name, status and load number. Watch this quick overview to learn more about it.


Search for a customer in the Flight Check-in screen

After all the customers on a booking have completed their online check-in or waiver form, you need to check their details and capture their weights to prepare them to be manifested. All the booking records are shown on the left-hand panel of the Flight check-in screen grouped by departure time. 

You can easily find a customer by entering their booking number or booking name, or the name of someone who checked in on the booking into the Search field.


View customer check-in details and alerts

The alert ball icon will be red if any of the customer's responses trigger an alert that needs to be checked by your team (these are configured in the Custom questions screen). E.g. if a customer has chosen Personal Accident Insurance, an additional option needs to be added to the customer booking to take payment for it. 


You can view all check-in details for each customer on the right-hand side, and these will be highlighted in red if the answer triggered an alert. If you click the alert ball icon, you can toggle between viewing all check-in details, or only the ones that triggered the alert. 


Entering customer weight 

Before allocating extra options such as photo & video packages or insurance, you must weigh the customers and enter these details into the Flight check-in screen. All customers on the booking must have their weights entered at the same time, you cannot weigh one customer and do the rest later.

  1. Weigh the customer and enter the details (Kg or Lbs is determined by your Aviation Settings) into the Weight field.
  2. After weights are entered for all customers, the Save button will be enabled.
  3. Click Save to complete the customer check-in.
  4. You will be prompted to generate the manifest records, choose Yes if there are no add-ons to allocate.
  5. You will see the manifest records generate the Load at the bottom of the Flight check-in screen. The load Status should appear as pending.


Allocating add-ons

If the customer has purchased add-ons, you will see these options appear in the Add-on section on the Flight check-in screen. If there are no more add-on options to include, skip to step 4. If the customer needs to change or purchase add-ons, follow the steps below:

  1. Click on the booking number in the left-hand panel of the Flight check-in screen to open the booking.
  2. Add the options to the booking as required.
  3. Go back into the Flight check-in screen and click the Refresh button next to the date filter to update the screen.
  4. Click in the Name field and select the customer name against each of the add-ons.
  5. Click Save, when prompted to generate manifest records, click Yes.


  6. You will know the manifest records have been generated successfully when the Load is generated at the bottom of the Flight check-in screen and the Status is set to pending. You MUST allocate all add-ons before you generate manifest records.


Manually checking in a booking for a new customer

If you need to manually check in a booking without completing the online check-in, follow these steps:

  1. Select the booking to check-in. 
  2. The blank check-in rows will appear in the People section on the right-hand panel.
  3. Click the Check-in/Rebuild button at the bottom of the screen.
  4. Enter the customer's first/last name and weight (minimum required fields) in order to save and generate the manifest records for this customer.


Check-in a repeat customer

If a customer has completed the check-in process before, their details will be saved in IBIS. You can look up an existing to add their details to the check-in as follows:

  1. Click on the Last name field, then click the magnifying glass.
  2. In the Search field, you can search for existing customers by name, phone, or email (IBIS will not display search records that do not meet the minimum check-in requirements).



  3. Select the customer by clicking the row, their details will update on the Flight check-in screen.
  4. Enter their weight to Save and generate the manifest records.


Split a booking

On some occasions, you may need to split a booking. E.g. if some people on the booking have decided to change the product they will be doing, or if the weather causes some customers to reschedule to a different day. When this happens, follow these steps to quickly split customers into different bookings:

  1. Open the booking you wish to split in the Flight check-in screen.
  2. Click the Split button at the bottom of the screen.
  3. Tick the customers you wish to split from the original booking, then click OK.
  4. A new booking will be generated for the chosen customer record(s) which retain the same details as the original booking (booking name, agent, voucher, product, date, and time).



  5. In the right-hand panel, click the new booking number (#) to open the booking and reschedule as required.
  6. Ensure the Add-on options are correct in both the original and new booking
  7. Cross-settle any outstanding booking balances by taking both bookings to Point of sale and completing the sale to settle.


Remove a checked-in customer

If you are splitting a booking or asking customers to check in before they arrive, you are bound to encounter scenarios where a customer needs to be removed from a checked-in booking. You can remove a person from a checked-in booking by clicking on their name and selecting remove from the droplist. Save your changes.
