Packages allow you to group two or more individual products to sell as one product on the Itinerary screen. Packages can be used across reservations, retail and admission product types. If you are using our Membership module, you can even restrict packages so they can only be purchased by specific memberships if desired.


Step 1: Creating a package

  1. Open the Packages screen, then click Add
  2. Create a unique code for the package, no more than 10 alphanumeric characters long. 
  3. Specify the package name, e.g. 'Women's Retreat'
  4. Specify the number of default Adult and Child units for the package.
  5. Set the sell method - either internal, online or on request.
  6. Click Save, and confirm your changes.
  7. Once the package is added, you may highlight the row in the packages screen and update any additional details as needed from the available options.

Step 2: Set up package components

Once the package details are set up, you need to add the products that make up the package. These are called the package components.

  1. Highlight the package in the Packages screen, then click the Package components tab.

  2. Click Add, then select either the product, retail item or event from the respective droplist. You can only select one per component.

  3. Specify the grouping order for the components in the package as follows:

    PrimaryThis is always the first component in the package.
    Group 1-9 PrimarySubsequent products can be added in the order they should be booked into primary groupings. E.g. Group 1 Primary, Group 2 Primary, etc (you can have up to 9).
    Group 1-9 Secondary
    Group 1-9 Tertiary
    If the customer has a choice of products they can choose with each group, these can be specified (up to 3 max). The first product choice is set as the Group Primary, the second is Group Secondary, and the third is Group Tertiary.


  4. Specify the duration for the component you are adding. 

  5. Set the Adult and Child price option code associated with each product.

    The option code specified must be a valid Adult and Child option code associated with the reservation product in the component. If the option code does not exist, it will not create the package properly.   NOTE: If the price option has restrictions check they apply to the package too.  If not, use a different price option for the package. 

  6. Set the price for the component (this may differ from the price set up for the original product). 

  7. Click Save, then confirm the details. 

  8. Once saved, you can add additional details for each component in the right-hand panel as follows:

    Fixed timesSpecifying fixed times for package component products that you operate: 

    You can set a fixed time for a package component in a 24-hour format, e.g. 10:00.
    Specifying fixed times for package components operated by an external supplier:

    SAME_AS_PRIMARY- entering this text will create the partner product at the same time as the primary component (which must be one of your own products).


    TimeOffset: XdXhXm. Examples:

    • TimeOffset: 2h30m – creates the partner product 2.5 hrs before the primary product time. 
    • TimeOffset: -2h30m - creates the partner product departure time as 2.5 hrs after the primary product time.

      The above options can be used in conjunction with the Package Time restriction, provided only one time is specified.

    • TimeOffset: -1d10h30m – where the ‘d’ parameter is used, it changes from an offset to a specific time on the offset day. So in this example, the external partner product will be created the day before the primary component, at 10:30 am, or the day after if you remove the - symbol.

    • TimeOffset: 2h59m – anything where the minutes are specified as ‘59’ can be configured to hide the time completely in the confirmation email. The partner product will be created at that time in the itinerary, but from the customer's perspective, there is no time specified.

     

  9. Save any additional changes, then test your new package out.
